In order to provide fair and equitable services to Ohio State students and recent graduates, the Arts and Sciences Career Services Office utilizes the following policies with employers and internship sites.
Adherence to Professional Standards & FERPA
Companies and organizations recruiting employees must abide by the National Association of Colleges and Employers (NACE) Principles for Professional Conduct for Employment Professionals. While all the principles apply, the following are listed for emphasis. Recruiters must:
- Have current or anticipated job openings
- Provide accurate information about their organization and employment opportunities
- Advise the office and applicants of the type and purpose of any test that is required as part of the recruitment process and to whom the test results will be disclosed
- Follow the Equal Employment Opportunity laws established by the Federal and Ohio governments
Companies and organizations recruiting interns are required to follow the policies set forth by the Cooperative Education and Internship Association (CEIA) and the ASC Career Services Office:
- Internship employers should pay for any required license or training fees
- Interns should incur no work-related debt or expenses
- Internship employers should not misrepresent positions offered
- Internship employers should be responsible for the ethical and legal conduct of their employees throughout the internship experience
- Interns should participate in activities that mirror the professional activities of their supervisors rather than exclusively performing clerical tasks that would otherwise be performed by assistants
- At some level, the intern should receive an orientation to the organization, training, supervision, and a performance evaluation
- All employers are encouraged to complete the Internship Learning Agreement to ensure a high quality experience for both parties
Student/alumni information obtained during recruitment activities shall not be re-disclosed without obtaining written student/alumni consent. According to the Family Educational Rights and Privacy Act (FERPA), no other party is to have access to this information.
Organizations Excluded from Use of Services
Employment opportunities must pay a base salary equal to or greater than the federal minimum wage. As such, the office does not provide services to those recruiting for commission-only employment, positions that require an upfront product or service purchases, or those working within a "pyramid" or "multi-level" structure.
Services for Third-Party Recruiters
Third parties that do not charge fees to those seeking jobs or internships may submit postings if they have completed the Working Relationship Disclosure form. Their postings will be reviewed and considered for inclusion on ResLink.
Third parties who are the exclusive hiring agency for an organization, and which have provided written documentation of this arrangement, can request the following: 1) preparation of resume bundles, 2) registration for the job fairs sponsored by the office, 3) space for an information session, and 4) space to conduct on-campus interviews. Requests are also processed for third-parties that provide specialized job search assistance (e.g., international employment or internship opportunities, services for disabled candidates, or other specialized hiring).
The Director of the Arts and Sciences Career Services Office will review written requests for additional assistance.
Right to Refuse Service
We reserve the right to deny services to any organization for factors such as the following, but not limited to:
- Misrepresentation of information or absence of information related to employment/internship positions, services or products offered, etc.
- Complaints by students, alumni, faculty or staff
- Harassment of students, alumni, faculty or staff
- Breach of confidential or protected information
- Application procedures that require providing personal information such as bank and social security numbers
- Failure to respond in a timely manner to office requests for information
- Failure to adhere to office or university policies or any violation of local, state, or federal laws
- Solicitation of interns for unpaid positions that require working 11 or more hours/week. Exceptions are typically made for organizations that comply with departmental requirements for awarding academic credit for the internship or provide other forms of compensation (e.g., stipends, free products).
On-Campus Information Sessions
For organizations seeking to promote internships or full-time employment opportunities, the office prioritizes requests for scheduling free space for on-campus information sessions based on the following criteria: 1) the organization has been approved to use the office’s interview space and is seeking to schedule an information session in conjunction with their interview day, 2) is an office sponsor, 3) serves as an internship site for Arts and Sciences students, or 4) is working in partnership with one of the academic departments within the Colleges of the Arts and Sciences. Except for those meeting criterion two, the office limits scheduling of free space for information sessions to twice a year.
For information sessions scheduled by the Arts and Sciences Career Services, the office exercises the right to set the following policies for such events:
- At minimum, session requests should be received three weeks in advance of a targeted visit date.
- The office reserves the right to deny requests for scheduling, marketing, or changing visit arrangements once confirmed.
- Presenters are expected to conduct themselves in a professional manner. Unprofessional behavior includes, but is not limited to, playing music or showing media presentations at a high volume level, soliciting signatures on petitions, serving alcoholic beverages, leaving the room in disarray (e.g., not returning furniture to its original location, not discarding uneaten food or other materials).
- We reserve the right to request identification from visitors.
On-Campus Interviews
For organizations seeking to promote internships or full-time employment opportunities to students and recent graduates in/from the Colleges of the Arts and Sciences, the office provides free space, on a first come/first serve basis, to conduct on-campus interviews. Requests for interview space are considered after submitted postings have been approved. Except for those who are either recognized as office sponsors or who are working in partnership with one of the academic departments within the Colleges of the Arts and Sciences, use of our interview space – when available - is limited to twice a year. (Employers seeking more than two interview days are encouraged to register for one of the university’s career fairs, including Spring Career Day or the Non-Profit Career Fair.)
